Effective date: 13 October 2026
This policy explains what information the Virtuous website stores and how it is used. Virtuous is a non-commercial World of Warcraft guild run by volunteers. We do not sell personal information and do not use it for advertising.
Visiting the website
You can read all public pages without an account. The site remembers your chosen colour theme in your browser's local storage. We do not use advertising or tracking cookies.
Member accounts and Discord sign-in
- When you sign in with Discord, we receive your permanent Discord User ID, username, display name and avatar. We only request the "identify" permission; we do not receive your Discord email, servers or messages. Discord access tokens are used once to confirm who you are and are not stored.
- Each account has an email address. Accounts created through Discord start with a technical placeholder address until you add a real one.
- You can optionally add a recovery email in My Profile. It only becomes active after you confirm it from that inbox, and is used for signing in, password resets and account emails.
- We never combine accounts automatically because their email addresses or names match.
Rosters, characters and attendance
Team rosters list character names, class, specialisation, role, rank, join date and public notes. Leadership may also keep internal notes that are only visible to leadership. Raid attendance records each character's status per raid. If your account is linked to a character, that link is stored together with when it was made.
Member Requests and audit records
When you request a character link, we store the team, the character, your optional message, the date and the decision. Important administrative changes, such as permission changes, account creation, Discord linking and request decisions, are written to an internal audit history that only Site Administrators can read.
Who can see what
- Public: teams, schedules, public roster details, progression, staff profiles, published gallery items and streams.
- Staff contact details (Discord or Battle.net tag) are shown only where the staff member chose to show them.
- Linked members: their own team's attendance overview, without private notes.
- Leadership: only the areas of their own team they have been given access to.
- Site Administrators: all areas, needed to run the website.
These limits are enforced by the website's database, not only by hiding things on screen.
Sessions and cookies
When you sign in, a sign-in session is kept in your browser's local storage so you stay signed in. During Discord sign-in, a short-lived, single-use security code is stored for up to 10 minutes to protect against forged sign-ins. Signing out removes the session from your browser.
Third-party services and links
The website is hosted on Lovable's platform, which also stores its database and files. Discord provides sign-in. Stream pages show live status and embeds from Twitch, which may set their own cookies when loaded. Links to Discord, Twitch, Blizzard Entertainment and other sites are covered by those services' own privacy policies.
Access, correction and deletion
You can view and edit your own profile in My Profile and disconnect Discord there. To see what we hold about you, correct it, or have your account deleted, contact guild leadership on Discord. Deleting an account is done by a Site Administrator on request. Roster characters and attendance history belong to the team's records; on request we can remove the link to your account or remove the character entirely.
Your rights
If you live in the European Economic Area, you have rights under the GDPR, including the rights to access, correct and delete your personal data, to object to or restrict its use, and to complain to your local data protection authority. Contact guild leadership to use these rights.
